Privacy Policy

This Privacy Policy explains what information AcuEntry collects, how it's used, and the choices you have. AcuEntry ('we', 'us') provides accounts payable automation software built for Acumatica Cloud ERP.

1. Information We Collect

We collect the following categories of information:

  • Account information — your name, email address, and organization, when you or your organization sign up for AcuEntry.
  • Email data — when you connect a Gmail or Outlook account, AcuEntry accesses messages and attachments in that inbox in order to identify and process vendor invoices. We only use this access for that purpose.
  • Acumatica connection data — the instance URL and credentials needed to connect to your organization's Acumatica instance. Credentials are encrypted at rest and are never stored in plain text.
  • Invoice and vendor data — the content extracted from invoices you process through AcuEntry, including vendor names, amounts, line items, purchase order and receipt references, and any corrections you make to that data.
  • Usage and log data — information about how the service is used, including sign-in activity and error logs, used to operate and improve the service.

2. How We Use Information

We use the information described above to:

  • Operate the service — identify invoices in your inbox, extract their data, match them against Acumatica purchase orders and receipts, and post approved bills to your Acumatica instance.
  • Improve the accuracy of invoice extraction over time, including learning from corrections you provide through features like “Teach the AI.”
  • Communicate with you about your account, support requests, and service updates.
  • Maintain the security and integrity of the service, including detecting and preventing fraud or misuse.

3. How We Share Information

We do not sell your information, and we do not use it for advertising. We share information only with:

  • Service providers who host, store, or process data on our behalf in order to operate AcuEntry (for example, cloud hosting and database providers, and providers used to perform AI-based invoice extraction), each bound to use the data only to provide that service.
  • Your own Acumatica instance, as the direct purpose of the service.
  • Others, only where required by law, to protect our rights, or with your explicit consent.

4. Google and Microsoft Account Data

AcuEntry's use and transfer of information received from Google APIs and Microsoft Graph APIs adheres to the applicable API data use policies, including Google's API Services User Data Policy and its Limited Use requirements. Email data accessed through these connections is used solely to identify and process vendor invoices for your organization's accounts payable workflow, and is not used for any other purpose, and is not shared except as described in Section 3.

5. Data Security

Acumatica and email account credentials are encrypted at rest. Each customer organization's data is logically isolated from every other customer's data within AcuEntry. Access to production systems is limited to what's necessary to operate and support the service. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as your account is active, or as needed to provide the service. If you close your account, we will delete or anonymize your data within a reasonable period, except where we're required to retain it to comply with legal obligations, resolve disputes, or enforce our agreements.

7. Your Rights

You may request access to, correction of, or deletion of your personal information by contacting us at privacy@acu-entry.com. We will respond within a reasonable timeframe.

8. Children's Privacy

AcuEntry is a business tool intended for use by adults on behalf of their organization. It is not directed to, and we do not knowingly collect information from, children.

9. International Users

AcuEntry is operated from, and data is processed in, the United States. If you access AcuEntry from outside the United States, your information will be transferred to and processed in the United States.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above and, where appropriate, notify you directly.
